We use certain terminology at autologyx , this chart outlines the key jargon you may hear us use of see within your autologyx ly system:
1-time completion |
A status which can be applied to a target or system user so that they do not have an account in which to login but instead are asked to complete criteria as one-off items via email notifications. |
API |
The API is a software interface that allows one program to talk to another. It can push information to autologyx and read information from it, in real time. |
Authentication |
Used to determine the type of “account” created for a person target when they are added to autologyx . |
Auto Generate User Account |
This function is used for person targets when you want autologyx to automatically generate a login account for records added against this target type. |
Target Import |
This function allows the user to create target instances by importing data from an Excel spreadsheet, or similar file, which then triggers a process such as necessitated by candidate registration or new employee start. |
Background Criteria Completion |
A feature which allows a system user to quickly “complete” criteria and move on to the next item. The criteria are actually triggering other events in sequences before being fully complete and attaining a status of “pass”. |
Category |
Categories are used to keep criteria in manageable groups for easy navigation around the system so that you don't have to trawl through long lists! We also categorise Notes on the Dashboard so that they can be given a Note Type which is useful for reporting purposes. |
Criteria |
Criteria are the individual things to do ie the parts which make up your whole process. They are applied to your person or thing that is the subject of your process. Criteria can be in the form of a question, an information request, document request, request for a signature on a document, or they can be the provision of information and/or documentation. |
Custom Field |
These fields are specified by the user dependent on the target group being created. You can determine which of these are mandatory when adding targets to the group. |
Dashboard |
The Dashboard is the centre of information and activity for System Administrators using autologyx . It allows you to see and monitor each part of every process in real time. The Dashboard will prioritise tasks and allow you to see what is required in the future. Layouts can be customised and you can filter out what you don't want or need to see. In summary the Dashboard provides a whole-world view. |
Document Store |
The area in which documents can be kept in their original format eg Word, Excel, PDF, etc and can be zipped, if required, for use in Document Store type criteria. |
Dynamic Form |
A "Dynamic Form" is an HTML form which can be created and saved on a local or shared drive or published to a website. It is used to add targets to the system without the need to be logged into it. |
Grouped Level |
In order to improve the target experience, levels containing more than one criteria can be “grouped” so that rather than appearing as lots of individual items on their home page the grouped criteria are listed as one. This also means that the target can answer each criteria in the level, one after the other, without returning to their home page. Grouped levels can also be applied to System Users. However, in their case all criteria are visible on the Dashboard. |
In-Level Sequence |
A feature of a level which allows criteria to be linked so that a specific response to one criteria can assign another. |
Level |
A Level is a collection of things to do, essentially a container for criteria, against which compliance for a target is ascertained. |
Masquerade |
A feature which allows a system user to complete criteria on behalf of a target. |
Patron |
The system user responsible for a target. |
Relational Target |
Relational Targets are used to bring together target groups of the person and things types. By doing this you are able to access and use all the information held about those target groups at the same time. |
Revalidate |
The process by which criteria are presented for completion again for example annually or if the response includes a date which expires. |
Sequence |
A Sequence is a workflow process made up of one or more levels which will automatically send the criteria (question, information request, document request, request for a signature on a document, information/document provision) to the selected target. |
Sequencer |
The Sequencer is the workflow engine within autologyx . Sequences are created using a drag and drop interface and can be triggered to commence when a target is created or updated. The Sequencer can handle thousands of processes, events, tasks and communication all at the same time. It will switch from one process to another dependent on the response it gets back from a user and will track expiry dates so that reminders are sent out well in advance. |
Set Criteria |
An Actor within the sequencer which allows you to re-assign or un-assign a criteria or change its status or set the patron for that particular criteria. |
Set Target |
An Actor within the sequencer which allows you to enable/disable a target’s account or notifications to an account or to change the account type or to change the value of a target field or to change the target’s patron. |
Shred on Reject |
This function allows you to permanently remove the response to the criteria (question) if it is not what was required/expected or if it is inappropriate. This means that the response will not be stored in history. |
Skins |
This feature allows you to apply branding to target facing pages. You can save several skins and apply them to different target groups based on field data. |
Standard Field |
These are the fields which autologyx considers are the basic minimum required to create a target group. For instance, all target groups should have a "Name" and those of the "Person" target type will require an email address so that autologyx can commence communication with the individual instances in the group. Standard fields are non-deletable and where relevant can be made mandatory. |
Store |
Where Apps and Services can be selected and configured for your system. Some are free of charge, others have associated costs. |
System Role |
System Roles can be defined dependent on the needs of your organisation or team. They are easy to set up by clicking required permissions. |
System User Accounts |
System Users are your internal users or "administrators" of autologyx . Depending on your organisational needs you might also create a target group for employees. System Users would be included in this group and therefore have two logins for the system, each one giving them the required access for the role they were performing at the time. |
Target creation from Criteria |
This function allows the creation of a target instance dependent on the response from an existing target instance where a name, email address, etc are provided. A Sequence (workflow process) can then be set up to commence. For example, a candidate or new employee may provide details of a referee. The referee can be contacted for the reference which he/she can upload to autologyx . This function is found in our Date Range & Activity response type. |
Target |
A Target is an individual person or thing, ie one member of a target group. |
Target Group |
Target Groups are the collections of people or things against which you organise and measure your compliance processes. |
Target Import |
A feature which allows multiple targets to be imported manually from a CSV file or automatically via an email inbox. |
Target Level |
A Target Level is an individual person or item which has a level assigned to him/her/it. It therefore shows a relationship between the Target and the Level. |
Target Type |
There are 3 Target Types depending on the members of the Target Group: Person - for all the people involved in the process; Things - for items, and Relational - which are used to tie together two or more of the other Target Groups. |
